An opportunity exists for an experienced Debtors Clerk to manage the debtors' books of two busy practices on a consulting contract basis. This role is well-suited to a self-motivated individual who is highly organised, detail-oriented, and capable of working independently with minimal supervision. The successful candidate will primarily work remotely, offering flexibility to manage other business interests or consulting commitments. Attendance at head office may be required approximately every two weeks, or as needed. Previous experience in debtors administration, account reconciliation, collections, and maintaining accurate financial records is essential. This position offers flexibility while providing the opportunity to work with established practices requiring efficient and proactive management of their debtors' accounts.
The role
- Maintaining and updating the debtors' ledger.
- Following up on outstanding accounts and overdue payments.
- Contacting debtors via telephone, email, or written correspondence.
- Allocating payments received to the correct accounts.
- Reconciling debtor accounts and resolving discrepancies.
- Preparing and issuing statements to customers and patients.
- Monitoring account ageing and reporting on overdue accounts.
- Processing credit notes and account adjustments where required.
- Investigating and resolving billing queries.
- Liaising with medical aids, patients, suppliers, or clients regarding outstanding balances.
- Maintaining accurate records of collection activities.
- Preparing debtors reports for management.
- Assisting with month-end debtor reconciliations.
- Ensuring compliance with company credit control procedures.
- Reducing bad debts through proactive collection and account management.
Minimum requirements
- Minimum 3 years' experience in a debtors/accounts receivable role.
- Proven experience managing a high-volume debtors book.
- Strong debt collection and account reconciliation skills.
- Proficient in Microsoft Excel and accounting software.
- Excellent attention to detail and accuracy.
- Strong organisational and time-management skills.
- Ability to work independently with minimal supervision.
- Professional communication and interpersonal skills.
- Ability to handle confidential financial information.
- Reliable internet connection and suitable home office setup.
- Own transport and willingness to attend head office meetings when required.
- Experience in a healthcare, retail, or optometry environment will be advantageous.
